Administrative Assistant

Grande Prairie

Oculus Transport requires a highly organized and detail oriented Administrative Assistant to support our growing Grande Prairie office. You will thrive in the fast paced environment, and can multi-task like a pro. You have the ability to support the day to day operations while at the same time always looking for ways to improve overall efficiency. At times the Accounting and Safety teams may lean on you, and the ability to juggle multiple tasks and demands will require you the ability to prioritize, and manage your time. Our company is growing and we currently handle a high volume of work. It is essential that you are able to drive current tasks and be motivated to take on new ones as they arise. This position offers the opportunity for growth and advancement, and the chance to be part of a team that is genuinely passionate about their work. The ideal candidate will be responsible for the following:

  • Provide administrative support by verifying the completeness and accuracy (rates, hours, locations etc.) of all documents before invoicing.
  • Responsible for collecting log books, and following up with drivers to ensure they are handed in on a timely basis.
  • Develop and implement a system to enter and complete master tickets.
  • Support the Accounting Department by assisting with Payroll verification and/or entry, A/P, A/R, work orders or any other functions as requested by the Vice President of Finance.
  • Support the HSE department by assisting with employee on-boarding and will include facilitating online orientations, organization of all relevant safety documents, completeness of all onboarding paperwork and any other administrative tasks as requested.

Requirements

  • Minimum 2 years in an office setting.
  • Proven ability to handle a high volume of work while remaining organized, and efficient.
  • Intermediate computer skills with experience using all Microsoft programs
